How to collect wedding guest photos with a QR code

A QR code gets guests to an upload page. The useful part is what happens next: they can choose the photos and videos already on their phone, save them to your gallery, and get back to celebrating. Here is a plan you can test before the wedding.

1. Prepare the gallery before printing

Choose a service that matches your event date, photo and video needs, guest access, and budget. With Pixta, guests do not need an app or account. The couple purchases a gallery, submits wedding details, and Pixta prepares and checks it. Setup is currently manual: confirm timing with support before buying for an imminent event.

Once your gallery is ready, your private setup page shows separate gallery, guest-upload and QR-card links. The card should open the guest-upload page. Keep the paid setup link to yourself; it is for managing your order, not inviting guests.

Decide who will receive the link. Pixta galleries are unlisted, not a public directory, but anyone with the gallery link can access it unless a password has been set. Check your actual access settings on another phone before sharing.

2. Test one card, end to end

  1. Personalize the QR card after your gallery is ready. Print one proof at the size you intend to use; a code that looks clear on your laptop still needs a phone test on paper.
  2. Scan the printed code with another phone. Confirm that it opens your event’s upload page. If you use a password, test that step too.
  3. Choose a test photo and a short video. Pixta accepts guest photos and videos, with a limit of 500 MB per file. Try the same connection guests will have at the venue if possible.
  4. Leave the upload page open until the files show as saved. Refreshing or leaving the page can discard files that are still queued. If an upload fails, check the connection and retry it before closing the page.
  5. Open the shared gallery and check that the files arrived. Download a test original so you know how you will save the collection after the event.

Pixta’s card studio supports DIY printing. Printed ordering and shipping are not available yet. You can practice with the demo, but its sample QR is not your wedding’s upload link.

3. Tell guests what the code does

Put the invitation beside the QR code rather than leaving guests to guess. Include the guest-upload URL as a fallback for anyone whose camera will not scan. Use table cards or a sign where people have a moment to read it; ask a trusted person to show guests how it works.

For a brief announcement, try: “If you caught a table selfie or a dance-floor clip, we would love a copy. The cards take you to our upload page. Please wait until your files are saved before closing it.”

This collection sits alongside your photographer’s work. Respect your ceremony’s phone policy and invite guests to share moments they already captured.

4. Send a reminder, then keep your own copy

Some guests will prefer to upload when they get home. Send a personal reminder with the guest-upload link so they do not need the printed card.

Original follow-up message

“Thank you for being part of our day. If you took photos or videos, we’d love to see them: [guest-upload link]. Please leave the upload page open until your files show as saved.”

Download your original files and keep a separate backup. Hosted gallery access is not a permanent archive: confirm your package’s hosting period and when it begins. If a guest wants a photo removed, contact the couple or Pixta support.
